Terms & Conditions

The services Launchpad by London Institute of Business and Technology (Launchpad) provides to you are subject to the following Terms and Conditions (T&C). Launchpad reserves the right to update the T&C at any time without notice to you. Launchpad membership application does not create a tenancy but a prepaid usage licence to use the provided amenities on a monthly or casual basis.

Facilities and Services

1.
In consideration of the payment by the Member of the Plan Fee specified, Launchpad permits the Member to use the Plan Inclusions and Services governed and defined by this Agreement from the Commencement Date until terminated in accordance with the provisions of this Agreement.
2.
Definition: Launchpad Coworking Space is either a shared space or shared office space in a collaborative work environment. Workspaces are available on a first-come, first-serve basis.
3.
Launchpad shall provide the Member with the subscribed Service Plans (“Plan Inclusions") specified:
a)
Starter Membership– a monthly plan that entitles the Member to limited access to Launchpad Coworking Space.
b)
Flex Membership – a monthly plan that entitles the Member to full access Launchpad Coworking Space.
c)
Dedicated Desk – a monthly plan that entitles the Member to use a dedicated desk within Launchpad Coworking Space and use of Launchpad as a Registered Office Address.
d)
Corporate – a monthly plan that entitles the Corporate Members to limited access to Launchpad Coworking Space.
4.
Coworking Space usage is only limited to the subscribed user.
5.
The following additional Business Services are available in accordance with Launchpads rates and updated from time to time. It is clarified that these Services are available to all Members and may subject to additional charges during non-operating hours:
i)
Printing facilities
ii)
24/7 access (excluding Flex and Corporate Members)
iii)
Locker
iv)
Car parking (additional arrangement with third party)
v)
Video conferencing
vi)
Meeting and Boardrooms
vii)
Other services

Sign Up And Invoicing

1.
The member is automatically invoiced monthly in advance based on their membership option.
2.
Payment is due 7 days from the invoice issue date.
3.
In the event that the Member does not pay within 14 day(s) from the invoice issue date the total amount as stated on an invoice Launchpad shall be entitled to:
a)
Suspend partial or all services provided by Launchpad to the Member including:
b)
Block Member access to the hot desk and any dedicated storage and change the lock without prior notice
c)
Vacate any dedicated storage
d)
Claim all costs including legal fees associated with recovering all monies owed to Launchpad from the Member
e)
Charge a reactivation fee
f)
The Member shall pay all sums due to Launchpad under this Agreement without any deduction or set off

Termination

1.
Termination of this Agreement will be subject to the following terms:
a)
This agreement shall automatically roll over for successive periods equal to the first period unless either party gives written notice to terminate the agreement one (14) days prior to the scheduled end date of the current licence period.
b)
The Member will be released from its obligations under this Agreement and allowed to terminate prior to the End Date of this Agreement subject to the Member paying Launchpad the full Plan Fee for the unexpired term together with all other outstanding invoices and Penalties (if any). Upon settlement of these terms received by Launchpad.
c)
Launchpad reserves the right to terminate this agreement if there is inappropriate activity or incident caused by the Member.
d)
If the Member terminates its subscription, the Member must return all keys (if any) and other means of access to Launchpad, cease to use Launchpad address on all its company documents, business registration, and marketing materials. Launchpad reserves the right to continue billing the Member at listed plan rates for each month that the Member continues to utilise Launchpad’s information on said documents and materials beyond the End Date of this Agreement, and to litigate if it deems appropriate. In the event the Member has lost any keys or access cards to the Centre, the Member must pay the replacement fee of such lost items.

Refunds

1.
The Member shall have 14 days to dispute a charge from the invoice due date. Launchpad will only provide a refund in the event that an incorrect amount has been charged to the member.
2.
Monthly Memberships: Members with monthly memberships must notify Launchpad of their intent to cancel at least 14 days prior to the invoice date. Failure to provide timely notice will result in the charge of the next month’s fee.
3.
Refunds for one-time reservations (e.g., booking a meeting room) must be requested at least 24 hours before the reserved time. Cancellations made less than 24 hours before the reservation time are non-refundable.
4.
Service Interruptions: In the event of significant service interruptions not attributable to scheduled maintenance or circumstances beyond our control, members may request a prorated refund for the duration of the interruption.
5.
Exceptions: Exceptions to this policy may be made at the discretion of the management in cases of documented personal emergencies or other extenuating circumstances.

Member’s Rights And Responsibilities

1.
The Member shall not:
a)
Conduct himself/herself in an unprofessional and irresponsible manner or act in any way that may cause nuisance, annoyance or injury to the other Members/users of Launchpad.
b)
Occupy space for commercial display, product display, storage, lodging, sleeping, or for immoral or illegal purposes.
c)
Leave personal belongings unattended. Launchpad is not responsible for any loss or damage of personal belongings.
d)
Use Launchpad space otherwise than for the Member’s business and in any event shall not permit it to be used for any illegal activity.
e)
Alter, install, remove nor damage any furniture, fixtures, decorative materials, office equipment, IT cabling and telecommunications tools from within Launchpad’s Coworking Space, dedicated workspaces and common areas, in which the Members have had access. Launchpad shall have the right to claim compensation from the Member for repairs, replacement, loss or damages.
2.
The Member shall:
a)
Observe and adhere to all the rules and regulations updated from time to time made by Launchpad.
b)
Agree that Launchpad’s Coworking Space, and dedicated workspaces are under 24-hour CCTV surveillance. Launchpad will only provide CCTV footage based on the request of local law enforcer, complying to local enforcement law.
c)
Be liable for any damage caused by the Member or by those in Launchpad with the Member’s permission or at the Member’s invitation, whether express or implied including but not limited to all the Member’s employees, contractors, agents or other persons present at Launchpad. In the event of such damage, Launchpad shall be entitled to take all steps necessary to rectify the same.
d)
Vacate the daily allocated office unit along with all personal belongings prior or at the end of every business day. This only applies to Flex and Corporate Members.

Launchpad’s Rights And Responsibilities

1.
Rights:
a)
Right to Modify Services: The coworking space reserves the right to modify, suspend, or discontinue any part of its services without prior notice, especially if it's necessary for maintenance, updating facilities, or emergency situations.
b)
Right to Enforce Policies: The coworking space has the authority to enforce house rules and policies regarding the use of its facilities and services to ensure a conducive working environment for all members.
c)
Right to Refuse Service: The coworking space may refuse service to any individual or organisation that fails to comply with its terms and conditions, including but not limited to non-payment of fees, disruptive behavior, or illegal activities.
d)
Right to Adjust Membership Fees: The coworking space may adjust membership fees periodically. Members will be notified of any fee changes at least one month before new rates apply.
2.
Responsibilities
a)
Provide a Safe and Secure Environment: The coworking space is responsible for maintaining a safe and secure environment for all members, including regular maintenance of facilities and ensuring that all safety regulations are met.
b)
Maintain Privacy and Confidentiality: Responsible for maintaining the privacy and confidentiality of member information, except where disclosure is required by law.
c)
Offer Support and Assistance: The coworking space must provide adequate support and assistance to its members, including customer service for any queries or issues related to the use of the facilities.
d)
Uphold Service Quality: The coworking space is responsible for ensuring that all advertised services are available to members and are of a quality that meets the standards promised.

Health and Safety

1.
Fire Policy
a)
Launchpad prioritises the safety of all individuals within its coworking spaces. In the event of a fire or fire alarm, all members are required to adhere to the following procedures:
i)
Evacuation: Upon hearing a fire alarm or discovering a fire, members must immediately evacuate the premises using the nearest exit.
ii)
Personal Responsibility: Members are responsible for ensuring their own safe evacuation from the premises.
iii)
Assembly Point: Legislative Building (The Wedding Cake) Prospect Hill, Douglas.
iv)
Do Not Use Elevators: Under no circumstances should members use elevators during a fire evacuation.
v)
Report to Emergency Services: Upon reaching the assembly point, members must report to emergency services personnel and provide any relevant information.
vi)
Wait for Clearance: Members must wait at the assembly point until given clearance by emergency services personnel before re-entering the premises.
b)
Failure to comply with these fire safety procedures may result in disciplinary action, including termination of membership. Launchpad reserves the right to conduct fire drills periodically to ensure that all members are familiar with evacuation procedures.
2.
First Aid
a)
There may be no First Aiders on site, please call Emergency Services as required.
b)
First Aid supplies are located on the Reception Desk on the Ground Floor and Kitchen on the First Floor.
3.
Emergency Procedures:
a)
In the event of emergencies such as medical incidents, natural disasters, or security threats, Launchpad has established clear procedures for members and staff to follow.
b)
Members should familiarise themselves with emergency exits, evacuation routes, and assembly points designated within the coworking space.
c)
Launchpad may conduct regular emergency drills to ensure members are prepared to respond effectively to various scenarios.
4.
Cleanliness and Hygiene:
a)
Launchpad maintains high standards of cleanliness and hygiene throughout its facilities, including shared workspaces, common areas, restrooms, and amenities.
b)
Members are encouraged to uphold cleanliness standards by disposing of waste properly, cleaning up after themselves, and respecting communal spaces.
5.
Accident Prevention:
a)
Launchpad implements measures to prevent accidents and injuries within its coworking spaces, such as ensuring ergonomic furniture, maintaining well-lit pathways, and addressing potential hazards promptly.
b)
Members should report any safety concerns, damaged equipment, or maintenance issues to Launchpad's staff or management for prompt resolution.
c)
Launchpad may provide safety guidelines and training sessions to educate members on accident prevention and promote a culture of safety within the community.

Data Protection and Privacy

1.
Collection of Personal Information:
a)
Launchpad collects personal information from members during the membership application process, including but not limited to names, contact details, payment information, and any additional information required for providing services.
b)
Personal information may also be collected through interactions with Launchpad's website, communication channels, events, or surveys.
2.
Use of Personal Information:
a)
Personal information collected by Launchpad is used for purposes related to providing coworking services, managing memberships, processing payments, communicating with members, and improving services.
b)
Launchpad may also use personal information for marketing purposes, such as sending promotional materials or event invitations. Members have the option to opt out of marketing communications.
3.
Storage and Protection:
a)
Launchpad employs reasonable technical and organisational measures to safeguard personal information against unauthorised access, disclosure, alteration, or destruction.
b)
Personal information is stored securely and may be maintained in electronic or physical formats, with access restricted to authorised personnel only.
c)
Launchpad may engage third-party service providers for data processing or storage, ensuring they comply with applicable data protection laws and adhere to similar privacy standards.
4.
Compliance with Data Protection Laws:
a)
Launchpad is committed to complying with all relevant data protection laws and regulations, including but not limited to the General Data Protection Regulation (GDPR).
b)
Members have rights regarding their personal information, including the right to access, rectify, or delete their data, as well as the right to withdraw consent for processing or object to certain processing activities.
c)
Launchpad will respond to member inquiries and requests regarding their personal information in a timely manner and in accordance with applicable laws.
